When a maintenance part is discontinued, backordered, or unavailable from your regular supplier, a simple repair can quickly turn into a headache. Here are six ways property managers and maintenance teams can keep the job moving.

Property maintenance doesn’t always go according to plan. You identify the problem, find the part number, call your regular supplier and then hear the words nobody wants to hear: “It’s backordered” or “That part has been discontinued.”

For property managers and maintenance teams, that can mean an apartment stays out of service longer, a repair remains unfinished, or an upcoming inspection gets more stressful.

Here are six things you can do.

1. Don’t throw away the old part. Even if the part is broken, keep it. The manufacturer name, measurements, electrical ratings, connection points, mounting holes and other details can help identify a replacement.

2. Take clear pictures. Photograph the complete part, the label or model number, and where the part installs. A good photo can sometimes be more useful than a description.

3. Check the equipment model number. For appliances, HVAC equipment, plumbing fixtures and lighting, the model number of the original equipment can help locate compatible replacement parts.

4. Look for superseded part numbers. Manufacturers often discontinue an old number and replace it with a newer one. The original part may be gone while a compatible replacement is still available.

5. Don’t assume “out of stock” means unavailable everywhere. Older inventory may still exist with specialty distributors, regional suppliers or other commercial sources.
