Hard to Find Maintenance Parts: A Sourcing Guide for Property Managers

When a maintenance part is discontinued, backordered, or missing from your regular supplier’s catalog, finding the correct replacement can quickly become a problem. Property managers and maintenance teams often need hard to find maintenance parts for aging apartment buildings, NSPIRE inspections, emergency repairs, and everyday unit turns. Knowing what information to provide can make locating the correct part much faster.

Why Maintenance Parts Become Difficult to Find

Commercial and multifamily properties often contain equipment that has been in service for many years. Manufacturers discontinue models, change part numbers, redesign products, or stop producing certain components altogether. A part may also still be manufactured but temporarily backordered through the large national suppliers.

This happens frequently with plumbing components, HVAC parts, electrical devices, appliance parts, door hardware, lighting components, specialty filters, and older building fixtures.


Start With the Part Number or Model Number

The fastest way to locate a replacement is usually with the original part number or equipment model number. Check the part itself, equipment label, manufacturer tag, packaging, maintenance records, or previous invoices. Even a partial number can help narrow down the search.


Take Clear Photos of the Part

If the part number is missing or unreadable, clear photos can be extremely helpful. Photograph the complete part as well as any labels, markings, connectors, mounting points, dimensions, or surrounding equipment. For plumbing and mechanical parts, a photo showing how the component connects to the existing equipment can help identify the correct replacement.


Include Measurements and Important Details

For older or discontinued components, small differences matter. Include dimensions, voltage, wattage, pipe size, connection type, color, mounting style, filter dimensions, or any other specifications that may affect compatibility. A replacement that looks similar is not always the correct replacement.


Check for Superseded Part Numbers

Manufacturers frequently replace an old part number with a newer one. The original number may appear discontinued even though a direct manufacturer approved replacement exists. Searching both the original number and any superseding numbers can uncover inventory that may not appear through a normal supplier search.


Look Beyond the Large National Suppliers

Large maintenance suppliers are useful for everyday products, but unusual items sometimes require a wider search. Independent distributors, specialty wholesalers, manufacturer representatives, surplus inventories, and other commercial sources may still have discontinued or difficult to find components available. This can help a property avoid replacing an entire fixture, appliance, or piece of equipment because one small component is unavailable.


Plan Ahead for NSPIRE and Property Inspections

Hard to find maintenance parts become much more stressful when an inspection deadline is approaching. During pre inspection walks, identify damaged, obsolete, or questionable components as early as possible. Smoke and carbon monoxide alarms, GFCI devices, plumbing components, lighting, door hardware, HVAC parts, and other building-maintenance items may require additional sourcing time when the original equipment is older.
